Privacy policy
How Sunshine Coast Civil collects, uses and protects personal information. Last updated 30/09/2026.
About this policy
This policy explains how Sunshine Coast Civil (“we”, “us”) handles personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
It applies to our clients, subcontractors, suppliers, job applicants, site visitors, and anyone who contacts us or uses our website.
The information we collect
We only collect the personal information we need for our work. Depending on how you deal with us, this may include:
Clients and enquiries: name, company, job title, email, phone and details of your project.
Job applicants: name, contact details, resume, work history, licences and tickets, experience, and your right to work in Australia.
Subcontractors, suppliers and their workers: contact details, ABN, insurance and licence details, training and ticket records, site induction records and payment details.
Site visitors: name, company, sign-in times and induction records.
Website visitors: what you enter into our forms, and basic technical information such as your browser type and the pages you visit.
Sometimes we need sensitive information, such as health information relevant to working safely on site. We only collect it with your consent, or where the law requires or allows it.
How we collect it
We collect most information directly from you: through our website forms, by email or phone, in tenders and contracts, and at site inductions.
Sometimes we collect it from someone else, such as a principal contractor, your employer or a referee you have named. If we receive information we did not ask for and don’t need, we destroy or de-identify it where it is lawful and reasonable to do so.
Our website also shows content from other services: a Google Maps map on our Contact page and an Instagram feed on our home page. When you view these, Google and Meta (Instagram's owner) may collect information such as your IP address and set their own cookies. They handle that information under their own privacy policies.
Why we use it
We use personal information to respond to enquiries and prepare quotes, deliver and manage our projects, assess job applications, engage and pay subcontractors and suppliers, manage safety and site access, and meet our legal, insurance and contract obligations.
We may also send you updates about our work. You can opt out at any time.
We don’t sell personal information.
Who we share it with
We may share personal information with principal contractors, clients and superintendents on the projects we work on; government agencies and regulators where the law requires it; our insurers, auditors and professional advisers; and the service providers we use to run our business.
We only share what is needed for the purpose.
Storage, security and overseas disclosure
We store information in cloud-based systems, including Microsoft 365, Xero and Notion, and in paper records at our office. We take reasonable steps to protect it from misuse, loss and unauthorised access, including by limiting access to the people who need it.
Some of our service providers, including our cloud software and artificial intelligence providers, store or process data outside Australia, including in the United States. Where information is sent overseas, we take reasonable steps to make sure it is handled in line with the Australian Privacy Principles.
When we no longer need information, we destroy or de-identify it, unless the law requires us to keep it.
Automated decision-making
We use some software to make, or help us make, decisions about people. The kinds of decisions, and the personal information used, are set out below.
Decisions made by software alone: our site sign-in system automatically refuses site access if a worker’s induction, licence, ticket or insurance is missing or out of date. It uses the worker’s name, company, induction records, licence and ticket details, and expiry dates.
Decisions software helps us make: we use credit checks to help decide whether to offer credit terms to a client or supplier. These use the name, business details and credit history of the person or business.
We also use artificial intelligence tools to help review and compare tenders and job applications. These use the information in the tender or application, such as names, experience, qualifications, licences and pricing. A person always makes the final decision.
If you have a question about one of these decisions, or would like a person to review it, contact us using the details below. We will update this policy before we use software for any other kind of decision about people.
Access and correction
You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below. We will respond within 30 days. If we can’t give you access or make a correction, we will tell you why in writing.
Dealing with us anonymously
Where it is practical, you can contact us without giving your name. For most dealings, such as a job application or a contract, we need to know who you are.
Data breaches
If a data breach is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.
Complaints
If you think we have breached your privacy, please contact us first. We will respond within 30 days.
If you are not satisfied with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
